The Challenge

Create a sustainable digital structure for projects and processes

Since July 2021, Presto has supported a Luxembourg-based insurance and reinsurance group in establishing a sustainable digital structure for a newly created Project Management and Process Orchestration Governance Programme.

The organisation was already process-focused, so the objective was not simply to digitise a checklist. The team wanted a flexible environment that could support governance, orchestrate recurring work and identify opportunities for further operational-excellence and digital-transformation improvements.

The Proof of Concept

Start with one real monthly process inside Human Resources

The first process-orchestration proof of concept was completed over four weeks within Human Resources under PMO supervision, with support from PricewaterhouseCoopers Luxembourg.

The pilot was deliberately practical. It tested whether a live, recurring business process could be scheduled, governed and maintained through Presto while also allowing the organisation to evaluate software usability and functionality.

Process Orchestration

Govern a 35-step salary-payment process through one workflow

The monthly salary-payment process owned by Human Resources consisted of 35 process steps. It was scheduled and governed through Presto's process workflow Kanban, replacing a more fragmented combination of process steps and supporting offline files.

This created a clearer operating rhythm for recurring work and made the supporting information easier to access in one place.

Learning & Product Development

Use the pilot to improve both the process and the platform

The proof of concept did more than validate the workflow. The project team also identified a portfolio of product-enhancement opportunities that fed into an additional enterprise-wide continuous-improvement product-development initiative.

Online training showrooms were designed and tested by the core project team. According to the original case study, two work sessions were enough for the Human Resources team to become fully independent using the Presto interface.

The Results

A small pilot with a clear governance outcome

  • One recurring monthly process orchestrated: the HR salary-payment process was digitised and governed through Presto.
  • 35 process steps managed: the workflow became visible and structured in one environment.
  • Four core users trained: only a small group was needed to ensure the underlying information was captured and reported correctly.
  • Two work sessions to independence: the HR team was able to use the interface independently after the initial training sessions.
  • 85% reported time saving: the original case study attributes the saving to consolidating process steps and supporting offline file management into one safer, easier-to-access place.
